Deposits, No-Shows and Policies That Hold Up

How to set a fair deposit, cancellation, late and no-show policy for long braiding appointments, what the major booking tools actually offer, and how to keep records in case of a chargeback.

When a client books six hours of knotless and never shows, you lose more than the time. You lose the hair you already bought and the day you turned other clients away. A clear deposit and booking policy, written down before anyone books, protects your income and gives clients a fair, predictable experience.

Why deposits make sense for braiding

Braiding appointments are long, and many styles need hair, beads or cuffs bought ahead of time. A deposit does two jobs: it holds the slot, and it covers what you spend before the client sits down.

  • Pick a structure. A flat amount is simple to explain. A percentage scales with the service. Vagaro's own guide notes that deposits are often set around half the service cost, though a flat amount is also common.
  • Say whether it counts toward the total. Most clients expect it to. StyleSeat and Booksy both describe deposits that are credited to the final bill at checkout.
  • Price in the hair. If you supply hair, set the deposit high enough to cover it, so a no-show never leaves you paying for someone else's install.
  • Decide who pays it. Some tools let you require deposits from new clients only, or skip them for trusted regulars.

Windows for canceling, rescheduling and running late

A policy only works when the numbers are specific. Choose them once and use them every time.

  • Cancellation window. Pick a cut-off, such as 48 hours, after which the deposit is kept. Square Appointments lets you set a cut-off anywhere from one hour to two weeks.
  • Reschedule rule. Say whether a deposit moves to a new date and how many times. StyleSeat's deposit feature moves the deposit to the new time when a client reschedules.
  • Late policy. Give a grace period (for example, 15 minutes), then state what happens: a late fee, a shortened style, or a reschedule that forfeits the deposit.
  • No-show policy. Define a no-show (for example, 30 minutes late with no message) and what you keep or charge.

How booking tools handle deposits and no-show fees

Every platform words this differently, and plans change. Here is what each official page confirmed when we checked. Always review current pricing and settings yourself.

Tool Deposit at booking Card on file / no-show fee Notes from the official page
Square Appointments Full prepayment option for fixed-price services Hold a card; charge a flat or percentage fee up to 14 days after the appointment Requires Appointments Plus or Premium. Policy shows in the booking flow and confirmation emails.
StyleSeat Flat or percentage, from $0.50 up to half the service price Can charge a percentage of the service for no-shows or cancellations within 24 hours Deposits require the Premium plan with payments on. No-shows must be marked within 30 minutes of start time.
Booksy Percentage you choose, applied to the total at checkout Card on file with a cancellation fee you process, waive or let Booksy charge Trusted Clients can skip deposits and fees. See their site for pricing.
Vagaro Partial deposit (percentage or dollar amount) or full prepayment Hold a card and charge it for a no-show You choose which services need a deposit. See their site for fees.
GlossGenius Service-specific deposits through your booking site Card on file for new clients, all clients or no one; fees at your discretion Policy shows across booking, confirmations and reminders. See their site for pricing.

One thing to know: StyleSeat states that each professional sets and enforces their own policy, and the platform will not do it for you. The same is true in practice everywhere. The tool collects the money; the policy is yours.

Put it in writing, in the right places

A policy clients never saw is hard to stand behind. Put the same wording in three places:

  • Your booking page, next to the price, before the client pays.
  • Your confirmation text or email, with the date, time, deposit paid and balance due.
  • A reminder 48 hours out, before your cancellation window closes.

Check your tool's defaults. On Square Appointments, for example, if you leave prepayment at the default setting, clients do not see your cancellation policy during booking.

SAMPLE POLICY (template, edit to fit your business)

Deposit: A $50 non-refundable deposit is required to book and is applied to your service total. For styles where I provide hair, the deposit covers the hair.

Rescheduling: You may reschedule once with at least 48 hours notice and your deposit moves to the new date.

Cancellations: Cancellations with less than 48 hours notice forfeit the deposit.

Late arrivals: There is a 15-minute grace period. After that, a $20 late fee applies, and arrivals more than 30 minutes late may need to reschedule with a new deposit.

No-shows: No-shows forfeit the deposit and must prepay in full to book again.

Emergencies: Life happens. Message me as soon as you can and we will talk.

Confirmation and reminder texts

Short and friendly works best. Two you can adapt:

  • Confirmation: "Hi Tasha, you're booked for medium knotless on Sat 11/14 at 9:00 AM. Deposit of $50 received, balance $190. Please arrive with hair washed and detangled. Reschedules need 48 hours notice. See you soon!"
  • Reminder (48 hours out): "Hi Tasha, reminder of your appointment Sat at 9:00 AM. If you need to reschedule, today is the last day to keep your deposit. Reply C to confirm."

Chargebacks, records and being fair

If a client disputes a deposit or no-show charge with their bank, your records are your case. Square's guidance for appointment disputes asks for the policy the client acknowledged, any cancellation or no-show fees stated in your terms, your cancellation messages, and a written cancellation confirmation. Square also recommends having clients check a box agreeing to your terms at online checkout.

  • Move fast. In Square's words, "You have a short seven-day window to submit your information."
  • Keep everything. Screenshot the booking, the policy as shown, your texts and any no-show marking.
  • Refund the right way. Square recommends refunding through Square to the original card, since refunds outside the card network carry more risk.

Firm does not have to mean cold. Most tools let you waive a fee or skip deposits for trusted clients. Decide in advance how you handle real emergencies, such as a one-time courtesy reschedule, so you are consistent rather than deciding by mood.

THE BRAIDINGFEST ANGLE

A written policy is part of being a professional Braid Artist, and it protects your clients as much as it protects you. Everyone knows the rules before the first part is drawn.

  • Add your deposit and cancellation policy to your BraidingFest profile so clients see it before they reach out.
  • Clear expectations lead to smoother appointments, and smoother appointments lead to better client reviews.
  • Bring your policy to a BraidingFest event and compare notes with other Braid Artists on what works.
